What to expect from your field officer’s first site visit

Starting an apprenticeship placement comes with a lot of moving parts. New faces, new routines and new expectations. For both host employers and apprentices, the first Field Officer site visit is designed to make that transition smooth, not stressful.

Why the first visit matters

The first site visit sets the foundation for the entire apprenticeship.

It gives your Field Officer the opportunity to:

  • Meet you and your team in person

  • Understand the type of work being carried out

  • Clarify roles and expectations

  • Confirm the apprentice is settling in well

For host employers, it ensures you feel supported from day one. For apprentices, it reinforces that they have ongoing guidance beyond the worksite. This early connection helps prevent misunderstandings and keeps everyone aligned.

 

What the field officer will look at

The purpose of the visit is support and oversight.

During the first visit, your Field Officer may:

  • Check that the apprentice has completed induction requirements

  • Discuss the training plan and required competencies

  • Talk through supervisor expectations

  • Review how off-the-job training will integrate with site work

  • Ask for feedback from both the host employer and apprentice

  • Provide Workplace Health and Safety guidance where needed

They are looking to understand how the placement is operating in practice and create comfortable, open communication with the apprentice and host. 

What they will not do

There can sometimes be uncertainty around site visits.

To be clear, your Field Officer is not there to: 

  • Conduct a formal audit

  • Police your business operations

  • Criticise your supervision style

While safety and training obligations are important, the visit is collaborative. If improvements are needed, they will be discussed constructively and practically.

How host employers can prepare

There is no need for special preparation. However, it can help to ensure the apprentice has completed your standard site induction and have a supervisor available for a short discussion. In this first visit, you can use this as an opportunity to share feedback, both positive and constructive, and raise any early concerns or questions. 

Open communication makes the process easier for everyone and the first visit is the ideal time to clarify expectations and flag any small issues before they grow.

How apprentices can prepare

For apprentices, the first visit is an opportunity to reflect on your first few weeks. Field Officers also provide mentoring and coaching. That includes guidance on attitude, performance and professional development.

You should be ready to:

  • Discuss the type of work you have been doing

  • Share how you are settling into the team

  • Raise any concerns about training or supervision

  • Ask questions about your training plan or off-the-job learning

What happens after the visit

After the first site visit, your Field Officer will continue regular contact with both parties.

They may:

  • Adjust or clarify elements of the training plan

  • Provide follow-up advice

  • Schedule future check-ins

  • Offer additional support if required

From that point on, you have a consistent contact who understands your workplace and your apprentice’s development.
